The Challenge & Insights Gathering
Creating a platform that serves the documentation needs of diverse business units (from legal to marketing) required understanding the friction points in traditional word processing. Discovery Workshops & Stakeholder Interviews Through interviews with startup founders and enterprise department heads, a recurring pain point was identified: teams were wasting hours hunting for the correct boilerplate templates (NDAs, Pitch Decks) and struggling to format them correctly. The core objective became engineering a centralised workspace that not only stores files but proactively assists in drafting them using AI-guided prompts tailored to specific industries.
Defining the Ecosystem: Personas & Roles
To structure the complex navigation and template categorisation, we defined three primary user archetypes. Balancing the rapid creation needs of founders with the strict organisational needs of department managers was essential.
Iteration & Strategic Pivoting
During the initial wireframing phase, SmartDocs was envisioned primarily as a highly organised template repository. However, early conceptual testing revealed that simply providing a blank template was not solving the core issue.
Mapping the User Flows
With the new AI-generation features, user journeys were mapped to seamlessly connect template selection with intelligent drafting and final storage.
Interface Solutions & Accessibility
Drafting legal and financial documents is inherently stressful. The interface required a layout that strictly mitigated cognitive overload. Designing for Focused Input The primary interface challenge was reducing the intimidation factor of document creation. The AI Wizard achieves this by utilising centered, modal overlays that blur the background workspace. By restricting the user's focus to a single, easily digestible question with clear progress indicators (the segmented progress bar), we significantly lowered the abandonment rate during the document creation phase.
